Call Me Button- Make a Call From Your PC

The Call Me Button is a quick way for someone to call you. Many people add these buttons to their website or email signatures. When a Call Me Button is pressed, CommPortal asks the caller to enter the number they would like to be reached on. It then rings their phone and automatically calls you.

1. Log into your CommPortal at grid4.wpenginepowered.com/commportal

2. Click on Downloads along the bottom menu bar

3. Click Call Me along the left side bar OR click the link Webpages or Emails

4. Follow the instructions.

  1. Log into CommPortal at grid4.wpenginepowered.com/commportal
  2. The Personal Details section at the bottom of the screen shows you the name assigned to the line.  Your Administrator is the only one able to edit a name.
  3. If your line is part of a Department it will be listed below your name. If departments are not used in your business, there is no entry.

  1. The Devices link will take you to your phone number, fax number and “Set Keys” if you have a desk phone.  If there is no “Set Keys” link there is no phone assigned to your line.

1. Log into CommPortal at grid4.wpenginepowered.com/commportal

2. Click on the Change Password link along the bottom menu bar (underneath security)

1. Enter your old password in the Current password text box.

2. Enter your new password in the New password text box.

3. Re-enter your new password in the Confirm new password text box.

4. Click on Confirm.

2. Click the Call Settings page along the bottom icon menu bar, the following page displays:

To withhold your caller ID when making calls, follow these steps:

1. Select Withhold my caller ID when making calls.

2. Click on Apply.

To display the name of a caller when your phone rings, follow these steps:

1. Select Display incoming call name on my phone.

2. Click on Apply.

To display the number of a caller when your phone rings, follow these steps:

1. Select Display incoming call number on my phone.

2. Click on Apply.

1. Log into CommPortal at grid4.wpenginepowered.com/commportal

2. Click the Message Settings page in the bottom icon menu

To set up forwarding of your messages to your email, follow these steps:

1. Check Forward messages as emails:

2. Enter your email address in the text box.

3. If you want to leave a copy of the message in your mailbox (so you can view them in CommPortal as well), check Leave original in the inbox.

4. Click on Apply.

5. Voicemails will show up in an email as a wave file. Faxes will show in an email as a PDF.

2. Click the Settings page along the top menu bar

3. Click over to the Message Settings tab in the Settings submenu, the following page displays:

To configure your mailbox so that it does not require you to enter a PIN when you collect your messages, follow these steps:

1. Check Skip PIN.

2. Click on Save Settings.

To disable the Skip PIN setting, follow these steps:

1. Uncheck Skip PIN.

2. Click on Save Settings.

To configure your mailbox so that it logs you directly into your mailbox when you collect your messages, follow these steps:

1. Check Fast Login.

2. Click on Save Settings.

To disable the fast login feature of your mailbox, follow these steps:

1. Uncheck Fast Login.

2. Click on Save Settings.

To configure your mailbox so that it automatically plays your new messages when you’ve logged in, follow these steps:

1. Check Auto-Play.

2. Click on Save Settings.

To disable the auto play feature of your mailbox, follow these steps:

1. Uncheck Auto-Play.

2. Click on Save Settings.

You can select what details you will hear on the voicemail playback. Pull down the drop menu to select to hear the recorded message only or the time and day when the message was left.

The Notifications section allows you to modify your phone’s settings, for example by adding speed dials.

1. Log into CommPortal at grid4.wpenginepowered.com/commportal

2. Click the Notifications page along the bottom icon menu bar:

MWI (Message Waiting indicator) lets you configure whether your desk phone notifies you when you have messages waiting.

Email Notification lets you configure whether you are alerted via email when messages arrive.

Outdial lets you configure whether you are alerted by phone when you have messages waiting.

Override lets you configure when you will receive message notifications. For example, while you are one vacation, you would like to only receive notifications for urgent voicemails.

You can use the Message Waiting Indicator section to configure whether your phone should indicate to you when you have new messages.

  1. Log into CommPortal at grid4.wpenginepowered.com/commportal
  2. Click the Notifications button on the lower right part of the page.
  3. The MWI status is on the top of the page:

To have your phone’s red message light lit when any new faxes are waiting, follow these steps:

  1. Check All Faxes.
  2. Click on Apply.

To have all new voice messages light your phone’s messages light, follow these steps:

  1. Check All Voicemail.
  2. Click Apply.

To have only urgent new voice messages light your phone’s messages light, follow these steps:

  1. Check Urgent Voicemail.
  2. Click on Apply.

Email Notification

Email notification lets you notify different email accounts when different types of messages are waiting. This will override any settings you have in the Settings section.

1. Log into CommPortal at grid4.wpenginepowered.com/commportal

2. Click the Notifications page along the bottom icon menu bar

4. Click the Email link bellow Message Waiting Indicator

To add an email address to be notified, follow these steps:

1. Click on New Entry:

2. Enter the email address.

3. Click on Add.

4. Check whether you want All Faxes, Urgent Voicemail, or All Voicemail sent to this address.

5. Click Apply.

To delete an email address from this list, follow these steps:

1. Click on the X icon to the right of the email address.

2. Click on Apply.

To delete all email addresses from this list, follow these steps:

1. Click on Clear List.

2. Click on Apply.

CommPortal Assistant Download

Business users in accounts that have activated Commportal Assitant can download the App from within CommPortal.

CommPortal Assistant Overview

The Downloads section allows you to download the CommPortal Assistant toolbar to install on your Microsoft Windows PC. This gives you fast access to your CommPortal from your desktop. You will not have to log in through a web browser when using the CommPortal Assistant.

To download and install the CommPortal Assistant toolbar on your desktop, follow these steps:

  1. Log into your CommPortal at grid4.com/commportal
  2. Click Downloads, found under Support in the lower right of the window.
  3. Click onAssistant on the left side bar.
  4. Click: Vista/Windows 7/ Windows 8 / Windows 10
  5. If prompted, select Run to start the installation.
  6. Follow the on-screen instructions to install CommPortal Assistant.
  7. CommPortal Assistant will now be loaded on your desktop toolbar with the  symbol.
  8. Click on this icon to automatically launch your dashboard.
